You will take on a pivotal role in providing proactive, high-quality support for two Managing Partners of our Budapest office.
Based in our Budapest location, you will be an integral part of our global Executive Assistant network, contributing to the smooth operation and success of our leadership team. Your work will involve managing a wide range of administrative and organizational tasks, ensuring that the partners’ time is used effectively and that day-to-day activities run seamlessly.
You will be joining a dynamic and diverse group of colleagues within our organization. Your Key responsibilities will include:
Calendar & Meeting Management
  • Proactively manage complex diaries, ensuring effective prioritization and anticipating potential conflicts.
  • Look ahead to identify scheduling challenges and propose practical solutions.
  • Organize and coordinate client meetings, conference calls, and internal or external events as required.
  • Ensure partners are well-prepared for all meetings, with relevant materials and information in place.
Communication & Relationship Management
  • Handle calls and correspondence efficiently and professionally, maintaining a high level of discretion.
  • Build and sustain strong working relationships with client executive assistants and internal teams.
  • Liaise effectively with clients, colleagues, and other key contacts across the Firm.
  • Monitor and proactively manage partners inboxes, prioritizing and responding to emails as appropriate.
Travel & Logistics Coordination
  • Plan and manage complex travel arrangements and itineraries.
  • Research and propose creative travel options that maximize efficiency and minimize travel strain.
  • Ensure seamless coordination of logistics, including accommodations, transport, and meeting schedules.
Document & Information Management
  • Prepare, edit, and proofread correspondence, presentations, and reports with attention to detail.
  • Maintain accurate and organized electronic files, records, and client databases.
  • Keep contact lists and distribution lists up to date and easily accessible.
Administrative & Financial Support
  • Manage expense reports, time sheets, and related accounts administration.
  • Ensure timely and accurate processing of financial and administrative documentation.
Collaboration & Project Support
  • Work closely with other Executive Assistants to ensure seamless coverage and teamwork across the office.
  • Provide support for ad hoc projects and initiatives as needed, adapting quickly to changing priorities.
Your work will play a vital role in ensuring our partners can focus on what matters most — serving clients and driving the firm’s strategic priorities. By managing complex schedules, coordinating key meetings, and keeping communication flowing seamlessly, you’ll help our leadership operate efficiently and effectively.
Through your proactive support and attention to detail, you will contribute to the smooth running of the Adriatic office and strengthen collaboration across our regional and global teams. YOUR QUALIFICATIONS AND SKILLS

    Bachelor’s degree or equivalent required

    2+ years of corporate and/or professional services experience preferred

    Excellent organizational capabilities, including the ability to initiate tasks independently and see them through to completion

    Proficient in rational decision making based on data, facts, and logical reasoning

    Ability to create work product-focused materials / outputs which may include PowerPoint decks, Excel models, articles, or other written deliverables

    Digest and comprehend content (e.g., email, articles, spreadsheets) and synthesize into a clear and communicable format (either written or verbally)

    Exceptional time management to meet your responsibilities in a complex and largely autonomous work environment

    Be able to adapt to meet our dynamic business needs that may change or evolve over time

    Strong technical skills, including proficiency in Outlook, PowerPoint, Word, and Excel

    Usage of relevant digital productivity tools (e.g., Microsoft Office) and digital communication tools (e.g., email, Slack, Zoom)

    Ability to work in-person in office location

    Strong communication skills, both verbal and written, in English and local office language(s), with the ability to adjust your style to suit different perspectives and seniority levels
