TEAM SUPPORT & OPERATIONS COORDINATOR

Key responsibilities

• Coordinate activities between BD Managers, Bid Manager, Marketing, Comms, and technical teams
  
• Ensure visibility of tasks, dependencies, and next steps
  

• Document how the BD team operates and keep materials up to date
  

• Maintain and update CRM (HubSpot) based on team inputs and prepare simple pipeline summaries and reports
  

• Support coordination of proposal preparation (timelines, inputs, document organization)
  
• Assist in collecting and structuring materials for bids and tenders
  
• Maintain proposal templates and documentation
  

• Organize internal meetings, prepare agendas, and track follow-ups
  
• Coordinate logistics for conferences, ESA events, and business travel
  

• Organize business travel (flights, accommodation, logistics)
  
• Support preparation of presentations and internal materials
  

Requirements

• 2–5 years of experience in team assistance, project assistance, personal assistance, or other, complex administrative roles
  
• Experience working in a structured, multi-stakeholder environment
  
• Strong organizational and multitasking skills
  
• High attention to detail and reliability
  
• Ability to work independently and manage multiple priorities
  
• Proactive communication skills
  
• Working level of English (written and spoken)
  

Considered a Plus

• Experience with Sales Support, CRM systems (HubSpot preferred)
  
• Experience in EU projects, public sector, aerospace, or similar structured environments
  
• Experience supporting events or marketing activities
  
• Exposure to bid or tender processes
